Configuration Form check in
- Discussion about the configuration form that is due next week. Erin had shared the draft form from Binghamton. Other vanguards are more or less completing the form the same way.
- Several members expressed concerns about the timing of the forms i.e. forms are provided by ExL without a lot of training (we just got training on search profiles this week and the configuration form about search profiles is due next week). There were also concerns that some of the forms and/or accompanying documentation have not been reflected to update changes with Alma and VE.
- It was suggested that we continue to think about developing guides to help other SUNY campuses when they need to complete these forms
Vanguard Primo instances are live! Short demo from Nancy.
- Nancy demoed Primo VE and discussed some of its features.
- Buffalo has a law and medical library and so they are thinking about how to best restrict access to certain collections. Shannon shared this documentation: https://knowledge.exlibrisgroup.com/Alma/Product_Documentation/010Alma_Online_Help_(English)/010Getting_Started/030Alma_Topologies
- Heidi mentioned that the Resource Sharing WG is starting to test how patrons can request material between campuses and this could impact Primo VE configurations.
- Shannon suggested creating a public user account to test features and functions in future meetings.
Customizations
- This agenda item was tabled for a future meeting
- Sounds like we’ll be able to create consortia customization package for those who don’t have skills to change their settings – think about what we’d want to make standard
- Are we ok with SUNY catalog scope wording? Possible recommendation. Note that full catalog record shows when other SUNY schools own item. What about a Worldcat scope?
- Do we want to make label/format/UI recommendations? Ex Libris rep brought this up as possibility during 5/17 session – make systems as similar as possible across SUNY? More of a best practice than a recommendation? Eg. Label names, number/type of fields in brief records, etc.
EBSCO API more discussion, demo, and possible recommendation?
- This agenda item was tabled for a future meeting
Book links
- Discussion on Basecamp today about Aleph Sys #s (https://3.basecamp.com/3765443/buckets/5943881/messages/1096301987). Shannon had commented on Basecamp that it would be great if we should get Aleph Sys numbers into the NZ linked records. This would help considerably with updating permalinks.
SUNYLA presentation
who will be there? Tentative plan: a general report on what we’re doing as a group, a demo of one (or more) of the Vanguard’s instances, a discussion about what campuses will be able to change on their own and what they can’t, and answering questions and fielding concerns. Will be a good place to get additional feedback/questions from campuses before we start the SUNYwide implementation.

- Quite a few members from the WG will be attending. Michelle will start a discussion on Basecamp.
Alma Certification
- Shannon clarified that individuals do not need ALMA certification to configure Primo. However, someone at the institution needs to be Alma certified before ExL will open up configuration at that institution, including configuration for Primo.
