I'm excited to announce the AIBD is moving its operations to a new office location.

The location a shared office space arrangement with Regus Jupiter - Harbourside Place.

Having a remote office arrangement will allow us to focus more on our mission and member needs, and less on managing office space. 

AIBD has the opportunity to host physical meetings in an impressive setting at a substantially reduced financial obligation.

As the need for business travel returns and AIBD's industry presence grows, business lounges, day offices, meeting rooms, and training centers, are available at over 3000 locations worldwide.

The AIBD staff has been working remotely since the start of the pandemic in March 2020.

There have been challenges, some still to be overcome, but staff productivity and customer service have been maintained during remote working. I expect that to continue and improve with the new office arrangement. 

Current office expenses (e.g., rent, cleaning, utilities, internet) account for approximately $20,000 of our annual expenses (4.2 % of our operating budget). The new office arrangement is projected to cost between $3300 and $9,300.

The cause for such a disparity in lowest cost versus highest cost depends on an acceptable solution to handling our incoming phone calls.

A noticeable decline in service during the pandemic is our inability to answer phone calls, receive messages, and reply timely. 

Unfortunately, a less-than-stellar performance in this area may continue for another month or two as new options are being explored.

I ask everyone to be patient as we find a pertinent solution.

The options at the $3300/year rate include,
  • Every call is received by an automated answering system, utilizing a menu, and callers choose the extension themselves.
  • Every call is answered by a live operator and forwarded to a Voice Mail account. An A-Team member is responsible for checking the messages and directing the return calls.
The option that may reach as much as $9300/year rate is,
  • A live answering service is employed and calls are routed directly to A-Team members.
Evacuating the existing office space will begin next week with a deadline date of July 24.

Additional storage space has been secured, increasing our annual storage costs from $2200/year to $3400/year.

Live Answering Service Update (7/28/21)

The receptionist at Regus will begin answering our phones in August and forwarding them to each respective teammate.

The cost for this service is an addition $1080 per year for handling 80 calls per month. Additional calls will be charged $1 per call.
