  • Name of your SILS group
    • Fulfillment & ILL Functional Group (FFFG)

  • What's your desired outcome for this meeting? What do you want to gain from having Ex Libris attend the meeting?
    • This is not a meeting with the FFFG itself, but with OCLC (Ralph Horton) and UCLA. We would like to have a shared understanding of the steps required to configure VDX NCIP integration with Alma at UCLA.
    • Ultimately, we want to have a documented process that will enable configuration of NCIP integration at other institutions using our experience at UCLA as a model.

  • Describe any problems with which you're struggling.
    • The biggest problem is developing an accurate model and documentation of how the complete integration works, as there are a number of steps and services. The basic workflow we are trying to achieve is as follows:
  1. A patron makes a physical loan request in the Primo resource sharing form, choosing a pickup location.
  2. The request cannot be filled by the AFN.
  3. A message is sent by the Supplier of Last Resort to the IVEA adapter. The message includes the Alma name of the pickup location. (The original borrowing request is kept alive.)
  4. IVEA uses mapping tables to look up the VDX pickup location code and managing location code based on the Alma pickup location name.
  5. The request is sent into VDX and processed. The request will be managed at the VDX ILL unit (the managing location) associated with the pickup location selected by the patron.
  6. When the item is put into received status in VDX, an NCIP 2 message is sent to the Alma instance through the OCLC NCIP gateway. The NCIP gateway uses mapping tables to look up the Alma resource sharing integration profile and pickup location based on the VDX pickup and managing locations.
  7. Alma creates a new borrowing request with the patron's pickup location. The ILL operator deletes the original borrowing request, scans in the received item, and puts it in transit to the pickup location. Once at the pickup location, the item is placed on the hold shelf and a notification is sent to the patron.

  • How does this affect your staff and/or users? How many people does this affect? For example, a few people at your campus, multiple campuses or the whole UC? Please describe the relevant audience(s).
    • This configuration will enable NCIP integration for resource sharing staff primarily at the 5 new-to-Alma institutions: UCM, UCB, UCLA, UCSD, and UCSF. These are the institutions that will require new NCIP configuration..

  • What's the urgency?
    • within the next week or two

  • What day of the week and time would you like the consultant to attend your group's meeting?
    • We will need a Doodle poll as this is not a regular meeting.

  • Who is the contact for coordinating this meeting? (name & email)
