CDI Task Force Special Meeting on Post-fix testing recap: Wednesday, January 15, 2020,

Agenda:
  • Testing Sunday's update
  • Go-live options
  • Campus communication
Minutes

Testing Sunday's update:
  • The 1/12 update was designed to fix the inability to suppress CDI collections in Primo VE; no other fixes were included.
  • The availability problem is slated for a future (February?) update
  • Ex Libris update in Basecamp:
    The fix for suppressing content from CDI was deployed yesterday [January 12]. We are planning to run full publishing tonight [January 13] so it will include all the suppressed collections. I believe you will be able to resume testing on Wednesday [January 15] after the full publishing and new rights build will get in.
    Regarding the availability issues, there are few issues and we will share the planned dates soon.
    You can start testing the suppress option, anything you suppress will be reflected in the CDI index within 48 hours. If you already have suppressed collections I believe you could see them as such from the next rights build tomorrow. I see that CDI currently uses rights that were built on Jan-13rd. Since we run a full publishing for your institutions on Jan-14th (1am), I believe they will be reflected when Jan-14th rights kick-in which is expected to happen tomorrow [January 14/15]
  • Testing plan:
    • changes that were made prior to update can be tested any time now.
      Are collections previously suppressed still displaying in Primo VE CDI search results?
      Any differences between filtered and expanded results?
    • new changes - are we now able to suppress collections from Primo VE CDI search results?
      Can we suppress from filtered and/or expanded results?
    • Local collections: Ex Libris indicates that content should be reflected same in CDI as PCI -- is this true? ex: if article-level results in PCI are we also finding article-level results in CDI?
    • Are system fixes in PCI being also applied to CDI? example: is the FOD record problem that was fixed in PCI recurring in CDI?
    • Group will document examples and share on Basecamp.
Go-Live Options
  • Can we go live now (i.e. prior to the start of Spring 2020 semester)?
    No. Persistent availability and other problems are too severe. We cannot consider going live until problems are fixed and tested.
  • Is it feasible to consider a mid-semester go-live?
    The group discussed potential pros and cons of going live mid-semester.
    • Pros:
      • Benefits of CDI over PCI, including merged records, more content included in CDI than PCI;
      • There are problems in PCI as well as CDI, so if all things are equal, might as well move forward and tackle new challenges as soon as possible;
      • May get better support for CDI than PCI issues if Ex Libris focuses more on new development than legacy issues;
      • Increasing discrepancies between PCI and CDI configuration settings = out of sync.
    • Cons:
      • Negative impacts on users of changing systems mid-semester, including widely different search results, links that will no longer work;
      • New system = new problems, on top of and further complicating existing problems;
      • No certainty that problems already identified will be fixed, nor when;
      • The system is not yet stable, and we don't know what it will actually be like when it has stabilized, nor when this will happen.
    • Plan for moving forward:
      Ex Libris is planning a major CDI update in February; we hope that the availability and other major problems will be fixed with the February update, but there is no certainty this will be the case.
      Our plan will be to test and document what we can at present and re-evaluate after the February fix.
      Once we determine that the system is operating with adequate stability and functionality, we will encourage all campuses to explore and test their CDI data and settings.
      The earliest go-live date that seems feasible is May 2020, after the end of Spring 2020 semester.
  • Outstanding issues:
    • Fully Flexible vs Easy Active model - all of SUNY needs to implement and maintain the same model
Campus Communication
  • The Task Force will alert SUNY campuses to the current status of the CDI, problems with the system and testing, and current plans.
  • We will share minutes, etc. on LibGuides and encourage questions and discussion.
  • Once CDI is stable, we will focus on documentation and training for all SUNY campuses to ensure the smoothest possible transition, including:
    • Review of migration reports;
    • CDI and related configuration;
    • Impact on Primo VE.
