Support for Wellspring Application while Sean is Away

Hi Team,
As I am setting away at a critical moment in our Wellspring recruitment process. I have detailed the interlocking tasks that need to be done and by whom.
I will be sharing this with the Wellspring Leadership Team (Karen Harder, Lola, Sue Ferguson, Jane Everham)

Task 0: Submit Promo Form for Wellspring Brunch
Task 1: Update the Application Form
Once the leaders have selected their meeting dates, Lola (& team) communicate to either Jenn Powell in the office to update the application form.
Inform them that the new meeting dates have been established and need to be updated on the application form.
Draft an inviting and warm email inviting them to a brunch in June. Include details such as the date, time, and location of the brunch, along with any other pertinent information (such as whether they can bring a guest, any COVID-19 precautions, etc.).
Make sure to also communicate the purpose of the brunch: to welcome and prepare the future generation of wellspringers and reunion.
Send this email at least a few weeks in advance of the brunch to give attendees time to plan for the event.
Remember to track RSVPs so you can plan the brunch accordingly, and send out a reminder email a few days before the event.

Task 5: Monitor Applications and Form Preliminary Groups
After the application goes live and invitations are sent out, the Wellspring Leadership team should start monitoring the incoming applications.
Create a spreadsheet of interested participants and begin forming preliminary groups based on the scheduling information in the applications.
Don't confirm groups until Sean get's back and reviews groups
If the number of applications exceeds 18, you should begin recruiting new facilitators. Contact potential facilitators directly, to see if we can get a third group going
Conversely, if a sizable number of applicants indicate that they cannot make the set meeting times, you should consult with the facilitator pairs to see if there is flexibility in their meeting times.
Task 6. Submit Event and Promo Form Once Wellspring Group Dates and Times are Confirmed
Once you've confirmed the dates and times for the Wellspring groups, you need to submit the event and promotion form.
This form should include all relevant information about each group including group name, facilitator names, and the confirmed dates and times.
Task 7: Create PCO Groups and Provide Names to Jen
Once the preliminary groups are formed, gather all the necessary information, such as group members' names and the facilitator(s) for each group.
Provide this information to Jen. Ensure she receives a clear list with the names of group members and their respective facilitators.
Assist or instruct Jen to create groups in PCO (Planning Center Online). Each group should be named in the following format: "Wellspring 2023-2024 ([Insert Facilitator(s) Names] & Time)".
Make sure that the facilitators are identified properly in each PCO group.
