Role Summary
The Supply Chain Coordinator ensures that our flour, packaging, ingredients, and other resources flow seamlessly from mill to bakery to community. This role balances logistics, purchasing, fulfillment, and vendor management to keep our shelves stocked, our bakers equipped, and our customers cared for—while safeguarding efficiency, accuracy, and Proof’s reputation for distinction.
Key Responsibilities
- Inventory Management: Track and maintain inventory levels across bakeries, warehouse, and mill; conduct regular counts; forecast demand to prevent shortages or overstock.
- Purchasing & Procurement: Place timely orders with suppliers for ingredients, packaging, and supplies; negotiate pricing and terms where appropriate.
- Vendor Relationships: Build and maintain strong relationships with farms, suppliers, and distributors; resolve issues quickly and effectively.
- Logistics Coordination: Coordinate deliveries between locations; support scheduling of drivers and ensure on-time, accurate deliveries.
- Proof Flour Mill Fulfillment & Customer Service: Oversee flour orders from packaging through shipment; manage customer communications with excellence, ensuring a positive and timely experience.
- Backup Production Support: Step into bakery production when needed—assisting with dough handling, packaging, or other tasks to keep operations flowing smoothly.
- Data & Reporting: Maintain organized records of purchase orders, invoices, and inventory reports; provide weekly updates to Finance and Operations.

Process Improvement: Identify inefficiencies in purchasing, fulfillment, or stock management; propose and implement solutions aligned with Proof’s culture of efficiency.
Qualifications
- Prior experience in supply chain, purchasing, logistics, or fulfillment preferred (food/hospitality background a plus).
- Strong organizational skills with high attention to detail.
- Ability to multitask, prioritize, and adapt in a fast-paced, dynamic environment.
- Excellent communication and relationship-building skills.
- Proficiency in Microsoft Office and/or inventory management systems.
- Must embody Proof’s BREAD values and commitment to quality, accountability, and community.
Physical & Work Requirements
- Ability to lift and move up to 50 lbs regularly.
- Frequent standing, walking, and warehouse/bakery environment work.
- Forklift certification
- Flexible availability to support early mornings, weekends, or evenings as needed for supply coordination.

- Inventory Accuracy (%): ≥ 95% match between system records and physical counts.
- On-Time Vendor Orders (%): ≥ 98% of purchase orders placed on time.
- Stockout Frequency (per month): 0 critical stockouts (flour, core ingredients, and mill packaging).

- Logistics & Delivery Efficiency & Accuracy: ≥ 95% of inter-location deliveries completed on schedule with accuracy
- Production Support Contribution: meet critical coverage needs when back up is required
