Note taker:
New board elected:
-
-
-
-
- Stina Knudsen
Alternate board:
- Charlotte
- Nadia
Auditor elected:
- Allan
Floating dock:
- Claus we used to get one of our dock from in Sydhavn is ureliable (responded two weeks before event)
- next board has to decide whether we build or buy a new dock for 2026
Area & permission & soundregulation:
- complaints about the bass
- some residents love it though!
- might be a meeting with Grundejerforeningen and CampusCup board, in order to set ground rules
Possible solution:
- maybe move the event closer to DR Byen?
- move the speaker to the other side? (whilst pointing towards the crowd)
- Smaller speakers -> easier to adjust the volume
- Decibel meter (FM might have some?)
- Silent Disco for entire event?
Sponsors:
- rocky road, some contracts written up few weeks before event
- figured out a way to have 3 gold sponsors
- Happy that so many want to sponsor the event!
Jugde-IT:
- applause to for creating the app
- released stats after event (per request from participants)
- Lots of IT work during the event
Teams:
- 15 teams + one cancellation on the day
- usually there is a waiting list, but not this year, we need to figure out how to attract more teams
- team sizes of 1, 2, 3 or 4 members? we had a single person signing up as a team this year
Volunteers:
- first time we had an application round - less nepotistic
Redbull Iron Horse:
- Sadly we lost to ScrollBar (our chair made a bet)
- Fun once-in-a-lifetime experience a lot of supporters showed up
Bugdet/expenses:
- way below budget
- this years budget accounted for and approved by Max
- some previous years have some large sums unaccounted for :/
- hard to figure out how much money we have, as it is in the same "pulje" as student council
Suggestions for use of the expected budget:
- floating dock (pram)
- rain/wind-jackets
- router/cables for better network (for more precise jugde-it stats)
Discussion:
MORE STRUCTURE WHEN CLEANING
- Overall checklist of things needed to be done, and who to ask
- A board member (or somebody else) to have overview of what needed to be done (designated role). Because it was hard to find a board member during cleaning (as they where also cleaning up).
- Do people leave for ScrollBar instead of cleaning? got head together with ScrollBar shift planner, in order to match up.
Comment: Suck it up if you double booked and have a closing shift in ScrollBar (cleaning two times).
A LOT OF ALGAE THIS YEAR
- Maybe clean up algae right before event
RUNNERS
- If you ask runners to get alcohol from scrollbar it takes a LOOONG time, some runners spent the whole event running for JaegerBombs.
- DO not use runners for getting scrollbar stuff
MORE GROUP CHATS
- Orders written in chat to vip/orders, can be optimized (is someone already doing it? need to scoll up), maybe seperate group chat.
- WInners of each heat in separate groupchat (or judgdeIT)
- Plan of the day on campuscup.dk website, who are competing this heat, who is up againt who in next round.
3 PEOPLE IN VIP (where one if half runner)
- two is not enough, there where no time for breaks.
- Have some extra runner for in case someone needs a brak in some of the roles, or if anyone get sick.
FUN IDEAS
- Waterpistols for crowds
- Something better than a box of beer for costume winning prize, and something more prestigious for the winners, like medals or something engraved.
FIRST AID KITS
- super outdated, they did not even have disinfection wipes
- have it ready in VIP area
- have it ready in contestant area
SURVEYS
- ask spectators what their think of the event and ask for feedback
- ask participant for feedback
SOUND/artists
- Microphones had different levels
- The performers/artists only on the day, aligned their gear with the sound, they knew hvad LIVE company had of gear but not sure if they could be connected. Maybe have a sound responsible person or set up communication between artist and sound equipment company.
- So cool with ITU artists and customized show! Ask out in ITU there are some cool artists, do a sign-up or application round.
OTHER
- SOME great
- Platform where people can find a group
- REDBULL DJ tent setup, five people working on it for an hour. No instructions from redbull. Have a photo from last year, or someone who tried it before.
- Activate more people throughout the year, not necessarily part of board (a lot of people raised their hands for a quick count of who many would be interested)
- Put out info about roles earlier, maybe a meeting a week before event
- confusing with some info on facebook and some on messenger, (maybe use Teams? or Discord?)
